How to plan light up letters for a corporate event in Sydney

You’ve got a conference, product launch, or awards night coming up, and the brief says “make it memorable.” Banners and pull-up signs do the job, but they don’t do much for the room. Light up letters change the space. They give guests something to photograph, they anchor the branding, and they turn a standard function room into something that looks purpose-built for the occasion. The difference between a display that works and one that falls flat comes down to planning. Here’s how to get it right. 

Decide what to spell

This is the first decision, and it shapes everything else – floor space, budget, and visual impact. Corporate event organisers typically choose from a few options: the company name, the event name, a branded hashtag, an acronym, or a single word like LAUNCH, WELCOME, or CELEBRATE. 

Shorter messages hit harder. A single word or acronym reads clearly from across the room, photographs well, and takes up less floor space. Longer phrases (your full company name plus a tagline, for example) create more presence but need a larger venue to breathe. If you’re working with a standard conference room or hotel ballroom, keep it tight. 

Think about what you want guests to do with the display. If the goal is social media coverage, choose something that reads well in a photo – a hashtag works, but only if it’s short enough to read at a glance. If the goal is brand presence, the company name or logo initials are the obvious choice. Delta Airlines spelled DELTA for their centenary celebration. Sort out the logistics early

Large light up letters are physical objects – 60cm and 1.2 metres numbers, 60cm and 1m letters. They need power, floor space, and access for delivery. The earlier you coordinate with your venue, the smoother the setup. 

Start with indoor versus outdoor. Indoor events are straightforward: you need power outlets within reach and enough clear floor space for the display plus a buffer zone so guests aren’t bumping into the letters. Outdoor events add weather to the equation. Letters can work outdoors, but you’ll need to confirm power access (generators or outdoor outlets), check the forecast, and have a backup plan for wind or rain. 

Venue coordination matters more than most organisers expect. Let your venue contact know you’re bringing in a light up display. They’ll need to know the dimensions, the power requirements, and the delivery window. Most Sydney conference venues and hotels have loading dock procedures and bump-in schedules, especially for large events. Get the venue’s bump-in contact details and pass them to your letter supplier so the two can coordinate directly.

Get the most from your event letters on the night

Once the letters are in place, three things determine how much impact they have: colour, position, and photography. 

Colour-matching to brand guidelines is worth the effort. LED letters with colour-changing options can be set to your brand colours, your event theme, or a sequence that shifts through the evening. If your brand uses a specific Pantone or hex colour, share it with your supplier ahead of time so they can match it as closely as the LEDs allow. 

Position the letters where they’ll do the most work. The three most common placements are entrance displays (guests see the branding as they walk in), stage backdrops (the letters appear in every presentation photo and video), and photo walls (a dedicated spot where guests take photos with the display). Entrance displays set the tone. Stage backdrops build brand presence across all event photography. Photo walls generate social content your marketing team can use for weeks after the event. 

Brief your event photographer before the night starts. Light up letters photograph best when the ambient lighting is slightly dimmed – the glow of the letters becomes the focal point.
