Light up letters for EOFY events that people remember

Sydney corporate planners working on EOFY events in June already know the formula. Hire a venue, line up canapes, pour drinks, run through a few speeches, hand out awards if you’ve planned that far ahead, wrap by nine. Light up letters are one of the simplest ways to give the night one or two moments that lift it above that standard format. 

The companies whose EOFY events still get mentioned in February are the ones that built a single visible centrepiece into the room. Not better canapes, not a longer speech list. One photographable moment that defines what the night was, and turns up in every photo posted the next week. 

Why most EOFY events feel the same

The standard EOFY format has three audiences in mind. The team, who turn up for recognition. The leadership, who want a sense of closure on the year. And the brand itself, which is on display to anyone in the room and anyone who sees the photos on Monday morning. 

Most events serve only the first audience well. The food is good, the drinks flow, the team leaves happy. The leadership gets to thank people, which is what they came to do. But the brand layer (the photographable, share-worthy, this-is-who-we-are part) usually defaults to a logo on a roll-up banner and a name tag. The visible identity of the night ends up roughly the same as any networking drinks in any city. 

Letters and numbers earn their place at EOFY events because they work across all three audiences at once. They mark the year for the team, give the leadership a stage worth photographing, and hand the brand a piece of visible identity that travels in every photo taken on the night.

EOFY moments worth investing in

A few formats work for Sydney corporate planners year on year. Each is built around a single visible anchor rather than a list of features. 

The year number as the room’s centrepiece. A 1.2m “FY26” or “2026” near the entry or behind the bar gives every guest the same first photo and gives the night a clear visual identity. The number’s height matters here. At 1.2m it’s tall enough to be visible across a function room of 150 to 200 people, not just to whoever’s standing next to it. That’s a step up from the typical 60cm to 1m hire pieces other suppliers carry. 

Awards reveals built around letter signage. Spelling out the award category or the winning name behind the stage during the announcement turns a 30-second speech into the photo that runs on LinkedIn for the next fortnight. The cost of the letters is rounding error against the cost of the venue. The photo is the part that does most of the work afterwards. 

Brand colour activation. Letters can be set to a company’s brand colours rather than the default white. A finance brand running its name in its corporate blue, a tech brand in its accent green, a hospitality brand in the colour that’s on every shopfront. This is the detail that turns “a function” into “their function” in the photos. Custom colours generally need around seven to ten days of lead time. 

The year-in-review wall. A “2026” number set up as the anchor for a backdrop wall, with milestones, team photos or campaign highlights flanking it. Works equally well at intimate 30-guest events and 300-plus-guest functions. Gives every guest a place to stand and photograph, which is most of the work of generating social media coverage without asking anyone to post.

What corporate planners are doing this year

We’ve worked with a few different kinds of brands on EOFY-adjacent events over the past couple of years. 

KFC and similar quick-service brands have used letter setups at training graduations, which run on similar emotional ground to EOFY: recognition of a team’s year, a photographable moment, brand presence in every shot. The format translates almost directly to year-end functions. 

A national insurance brand CGU has used branded letters at networking events to give clients a visible reason to talk to the staff in the room. The letters work as a conversation prompt as much as a backdrop, particularly at events that combine internal recognition with client hosting. 

A software brand NOUS ran its company name in its own brand colours as the central piece of a networking and recognition night. The colour customisation carried the brand identity through every photo without requiring banners or screens. 

The common thread isn’t size or budget. It’s that the planning team picked a single visible anchor and built the room around it, rather than spreading visual investment across half a dozen smaller touches. 

The practical bit, kept short

  • Lead time for June events: book by mid-May for confident availability. The first three weeks of June are the busiest fortnight of our calendar. 
  • Brand colour requests: allow ten days for custom colour work on top of standard lead time. 
  • Venue check: confirm power access near the setup point, ceiling height, and roughly two to three metres of floor space for the larger pieces. 
  • Delivery and setup: included with all Sydney hires. Venues are coordinated with directly, so the planner doesn’t chase setup logistics on the day. 

Light up letters at EOFY events: common questions

For events in the first three weeks of June, book by mid-May. The EOFY window is the busiest fortnight of our calendar and inventory on specific letters or numbers can run out earlier in the larger formats. Standard colours generally have more flexibility than custom brand colours, which need an extra seven to ten days of lead time. 

Yes. Custom brand colours are part of the standard service and require around seven to ten days of additional lead time. Send through your brand’s hex code or PMS reference when you make the booking and we can confirm the match before production. 

For a room that size, the 1.2m numbers and 1m letters are the right scale. Anything smaller gets lost from the back of the room and shows up flat in photos taken across the space. The 60cm pieces work for intimate events of around 30 to 50 guests where everyone is close to the centrepiece. 

Delivery and setup are included across Greater Sydney, including the CBD, North Sydney, the Inner West and the major function venue districts. We coordinate with the venue directly on access times, lift access where applicable, and pack-down at the end of the night. 

Booking your June event

The EOFY window is short and the inventory is finite. The first three weeks of June carry the bulk of corporate year-end bookings, and the pieces that travel furthest in photos (the larger numbers and brand-colour custom pieces) are usually the first to commit.
